Information on the Processing and Protection of Personal Data at Charles University in Connection with the EMEE 2026 Agenda

Effective from: 11.12.2025

1. Preamble

In accordance with Regulation (EU) 2016/679 of the European Parliament and the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation), as amended (GDPR), Charles University informs data subjects about the conditions under which personal data are processed in connection with the registration, organisation, and administration of the EMEE 2026 – 17th International Workshop on Empirical Methods in Energy Economics agenda.

2. Personal Data Controller

4. The Principles for Processing Personal Data at Charles University

We process your personal data only in the scope necessary for executing university activities or in relation to the services you use at Charles University. We protect personal data to the maximum extent possible and in accordance with law. The principles and rules for processing personal data at Charles University, such as the principles of lawfulness, fairness and transparency, purpose limitation, data minimalization, accuracy, storage limitation, integrity and confidentiality, and accountability, are also governed by Rector's Directive No. 16/2018 – Charles University (cuni.cz). 5. Purposes of the Processing

In connection with the EMEE 2026 agenda Charles University processes your personal data for the following purposes:

  1. Managing participant registration and attendance
  2. Communication with participants regarding organisational details
  3. Processing of registration fees and related financial administration
  4. Issuing confirmations, invoices, receipts, and attendance certificates
  5. Fulfilling administrative, audit, and reporting obligations of the University
  6. Ensuring logistical arrangements (venue access, catering, etc.)
  7. Documenting the event for reporting and dissemination (e.g. anonymised statistics)

6. Categories of Persons Whose Personal Data Are Processed

In connection with the EMEE 2026 agenda Charles University processes personal data for the following categories of data subjects:

  1. Conference participants (presenters, co-authors, attendees, guests)
  2. Invited speakers
  3. Organisers and volunteers (where relevant)

7. Categories of Processed Personal Data

In connection with the EMEE 2026 agenda Charles University processes following personal data categories:

  1. Identification data: first name, surname, title, affiliation, e-mail address, contact phone number
  2. Addresses and invoicing data: billing address, country, payment details
  3. Professional / academic information: presentation title, abstract, role at the event (speaker / participant)
  4. Descriptive data (education, foreign language knowledge, professional qualifications, knowledge and skills, and portrait photo)
  5. Financial data (bank account number)
  6. Data about the activities of a data subject (publication activity, professional activity, project participation, and information about study visits)
  7. Special categories of personal data: dietary restrictions only if provided voluntarily (processed solely for catering arrangements)

The provision of your personal data is a requirement necessary to enter a contract in connection with the EMEE 2026 conference. The provision of your personal data is a statutory requirement.

8. Legal Basis for Processing Personal Data

In connection with the EMEE 2026 agenda Charles University processes your personal data for the following legal basis:

  1. Article 6(1)(b) GDPR – processing necessary for the performance of a contract (conference registration and participation)
  2. Article 6(1)(c) GDPR – compliance with legal obligations (accounting, record-keeping, reporting)
  3. Article 6(1)(e) GDPR – performance of a task in the public interest (University activities)
  4. Article 6(1)(a) GDPR – consent for voluntary data (e.g., dietary restrictions, optional photo documentation if relevant)

9. Transferring Personal Data

In connection with the EMEE 2026 conference, Charles University may transfer your selected personal data to:

  1. payment service providers (for registration fee administration)
  2. Czech National Agency for International Education and Research (if reporting is required)
  3. public authorities, where required by law (e.g., for accounting or audit purposes)
  4. partnering faculties or units within Charles University for organisational purposes

10. Period for Storing Personal Data

Data are stored only for the period necessary in relation to the specific activity of processing personal data, and in accordance with the valid Archiving Procedures, the data are then destroyed or archived. We store the personal data that we process with your consent only for the duration of the purpose for which the consent was provided.

In connection with the EMEE 2026 agenda, Charles University stores your personal data:

  1. for 5 years for accounting and audit purposes (legal obligation),
  2. for the duration necessary for organisational and administrative purposes of the conference,
  3. voluntary data (dietary preferences, optional information) are deleted immediately after the event.

After these periods, data are destroyed or archived in accordance with Charles University's Archiving Procedures.

11. Rights of Data Subjects

When we process your personal data, you have the right to:

  1. Information on processing
  2. Access personal data
  3. Corrections and supplementation
  4. Deletion (the right to "be forgotten")
  5. Restricted processing
  6. Data portability
  7. Object
  8. Review automated decision
  9. Lodge complaints or protection
  10. Withdraw the consent in case the personal data processing is based on the consent; the withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal.

12. Exercising the Rights of Data Subjects

The data subjects have to exercise their rights against the controller of personal data by sending a request to Charles University's databox "piyj9b4", by sending an e-mail to the data protection officer gdpr@cuni.cz, or by personal or electronic submission to the officer via the Registrar's Office of Charles University. Prior to processing the request, Charles University is entitled and obliged to verify the identity of the requesting party.

13. The Right to Lodge a Complaint with the Supervisory Authority
